Working for this established, award winning company, the Trainee Events Administration Assistant will be involved in delivering various events including B2B trade exhibitions, conferences and awards ceremonies across the UK. Working as part of the team you will provide vital administrative support across all event activities, and involved in the planning and operations supporting exhibitors, visitors, suppliers and internal teams.
2023 is busy year for the company, with scheduled large trade exhibitions and awards ceremonies. You will be joining an organisation with the upmost integrity and the role will demand excellence and diligence at every stage of the event operations process. Based within modern, open-plan offices, with working from home 2 days a week and with flexitime available.
The Trainee Events Administration Assistant role requires individuals to be detail oriented, task minded with the ability to work to deadlines, working individually or as part of a team. Although it would be advantageous for candidates to have experience working in the events industry, this is not required.
This is a great role for anyone who is interested in events/hospitality who is self-motivated, positive and ambitious.
Providing daily information on new orders for exhibition space and keeping corresponding information and revenue spreadsheets up to date.
Updating and maintaining online exhibitor manuals.
Updating and maintaining all event floor plans.
Assisting in the processing and confirmation of exhibitor information and to monitor exhibitor response to ensure all necessary information is received.
Assisting in preparation and distribution of exhibitor promotions and collateral such as show guides, VIP tickets, access passes, welcome packs etc.
Work with the Marketing and Events Sales team to deliver on any sponsorship fulfilment.
Responding quickly to requests from delegates, speakers, sponsors and exhibitors’ pre-event and on-site.
Strong and effective customer service to exhibitors, in-house teams and sponsors
Coordinate wider event team project meetings, creating and circulating agendas and producing and distributing meeting minutes.
Impeccable organisation across multiple complex projects.
Excellent time management with the ability to prioritise.
Attention to detail and working to strict deadlines is essential.
Demonstrable experience of working under pressure, within changing priorities & deadlines and to be flexible as part of a small team.
Positive and adaptable approach to problem solving.
A strong customer focus with the desire to go the extra mile.
Strong work ethic, positive attitude and desire to measurably impact results.
Excellent written and verbal communications/presentation/reporting skills and the ability to communicate with people at all levels.

IT skills – Word, Excel, web research, database packages.
Creative mind set and able to bring new ideas to the table or to initiate better practice in areas of the team.
